Entering Phone Calls
To create a new phone call, tap the New button in the List View.
Looking up a Name
If you have "Automatically popup the address list on new item" selected
in the Preferences screen, the first thing you will see is the Lookup screen.
Lookup Screen
Choose a name from the list and PhoneLog will automatically enter
that information into the correct fields. Or choose Cancel to enter a new contact.
You will then see the Edit View.
Edit View
Choosing the Type
Tap the Type popup to choose the call type. Three types are set up for
you: Conversation, Left Message, Incoming Voicemail.
If you would like to keep track of other contact types, like if you want to
track meetings you have with someone, you can edit the type list by choosing
"Edit Types" from the Options menu.
Edit Types Screen
You can add new types, delete types, or change the ones that you see.
When you edit types, it will not change the types of the calls you have
already entered.
Entering First, Last and Company Information
If they are not already filled in, enter the first name, last name, and the
company of the person you are contacting. You will notice that the Name line
is divided into two fields. The field on the left is for the first name and the
field on the right is for the last name.
If QuickFill is selected in the Preferences screen, PhoneLog will try to
lookup the name you are entering and fill in the rest of the information from
your built-in Phone Book. You can turn off this feature by choosing
Preferences from the List View, and unchecking "Quickfill".
If there is more than one Phone Book entry that matches the text you
have entered, you can scan through the entries by pressing the down and up
buttons at the bottom of your PalmPilot. For example, if you have both a Bob
Jones and a Bob Smith in your Phone Book, you can enter "Bob" into the
First Name field, causing PhoneLog to fill in the information for Bob Jones,
and then press the down button, and PhoneLog will fill in the information for
Bob Smith.
You can see a list of all your Phone Book entries by tapping the down
arrow next to the Last Name field. Selecting a name from the list will
cause PhoneLog to fill in that contacts information.
While entering information on a new contact, you will see a plus symbol
(+), next to the company field. After entering the contact information,
including the phone number, if you want to put this contact into your built-in
Phone Book, simply tap the plus symbol. The plus will change to a right arrow.
Whenever a right arrow appears next to the company name, it indicates
that this call is linked to someone in your Phone Book. You may quickly go to
this entry in your Phone Book by tapping this right arrow. If you have set
up PhoneLog to be your default Phone button application, as described in
the Getting Started chapter of this manual, you can go right back to
your PhoneLog entry by pressing the Phone button.
Entering a Phone Number
Enter the phone number of your contact into the "#" field.
If you have selected someone from the Phone Book, or if PhoneLog
has quickfilled a phone number, and the person has more than one phone
number entered in the Phone Book, you can select another phone number by
tapping the down arrow next to the Phone Number field.
Selecting a Phone Number
Adding a Subject
Type the subject of your conversation into the Subject field.
If you make a lot of calls about a particular subject, you may want to add
your subject to the subject list. To quickly add a subject to the subject list, enter
the subject, then choose Add Subject from the Options menu.
Adding a Subject
Quickly choose a subject from your subject list by tapping the down
arrow next to the Subject field. You can also edit your subject list at any time
by choosing "Edit Subject List" from the Options menu.
Editing the Date and Time
The date and time of your call is automatically filled in for you. If you want
to change it, simply tap on the date or time that you want to change.
Time the length of your call by tapping the Start button. The Start button
will change to Stop, and the timer will begin. When you are done with the call,
tap the Stop button.
While the timer is timing, you may switch to other applications, but be sure
to remember to switch back to the PhoneLog application to turn off the
timer. While you are in the PhoneLog application, PhoneLog will beep every
minute to remind you that you are timing a call.
Entering Details
Enter details about your call into the two lines at the bottom of the Edit
View. If you want to enter more than two lines of information, you may find
it convenient to expand the screen to see more lines for your details. Do this
by tapping the note icon.
You can also start your details with a Memo PLUS Model. A Model is
a template you have set up using Memo PLUS. Simply tap the up arrow net
to the note icon to see a list of Models to choose from.
If you do not have Memo PLUS, it is available from the Hands High Web
site at http://www.handshigh.com/.
Categorizing the Call
You can choose a category for the call by selecting the category from
the upper right corner of the Edit View screen. Selecting "Edit Categories" will
let you change your categories and create new ones.
Here is a list of some ways you may want to categorize your calls:
· By business, personal, and nonprofit to correctly charge calls that will
be reimbursed, or to track them for tax-deductions
· By phone that you are calling from, to track calls made on a home
phone, a cellular phone, or from a calling card
· By project or client if you charge your phone time back to your customers.
